For sponsor-licence holders
The records UKVI expects to see — in one place.
Built for UK care providers holding a Sponsor Licence under the Health and Care Worker route. FlexiEle is your system of record for every sponsored worker — the data on file, the expiry alerts and the audit-ready export — so you’re not keeping a parallel folder for the Home Office.
A note on terminology
Sponsor-licence compliance is the employer’s legal obligation, not the software’s. FlexiEle gives you the record-keeping, alerts and evidence trail that make meeting those obligations practical — the accountability stays with you and your designated Authorising Officer, Key Contact and Level 1 Users.
On file, per worker
What FlexiEle keeps on file for each sponsored worker.
- Certificate of Sponsorship (CoS) reference, issue date and end date — linked to the employment record.
- Visa & CoS expiry — alerted ahead of the end date, and scheduling is blocked past it so no one is rostered on an expired visa.
- Salary against the role’s minimum threshold — flagged before a payroll change drops a sponsored worker below the floor.
- Right to Work online-check outcome recorded — the GOV.UK share-code reference and verification date kept against the worker.
- Job role and SOC code on file, with employment dates and changes timestamped.
- Absence and attendance records — kept and retrievable on request, the way UKVI expects.
- Reportable changes (job change, salary change, missed work, leaver) flagged with the 10- or 20-day deadline and reminders — you still file the report with UKVI.
You carry out the Right to Work and visa checks on GOV.UK; FlexiEle records the outcome and the evidence. A direct GOV.UK / UKVI integration — automated share-code verification and reportable-change filing — is on the roadmap.
Mapped to your duties
Sponsor-management duties checklist.
UKVI’s sponsor guidance lists ongoing duties under four headings. FlexiEle maps to each one.
Record-keeping duties
Right to Work check outcomes, contact details, employment history, attendance and qualifications — all captured in the worker profile and exportable for a UKVI audit.
Reporting duties
Significant events (no-show, absence, contract change, leaver) flagged with their notification deadline, plus email reminders to your Level 1 User.
Compliance duties
Right to Work re-check reminders before each visa expiry, and salary-threshold monitoring per sponsored role.
Co-operation duties
On-demand worker-record export, ready to share with a UKVI compliance officer during an audit visit.
Why it matters now
A valid licence is a lifeline — protect it.
The Health and Care Worker visa is the lifeline for many UK care homes — and UKVI compliance audits are the lever that determines whether your sponsor licence stays valid. A licence revocation means you cannot sponsor new workers, and existing sponsored workers’ visas can be curtailed.
We don’t make those decisions go away. We make sure that when an audit officer asks “Show me the records for this worker,” you have them in front of you within 30 seconds.
